3–4 Weeks Before the Party

For most children's parties, sending invitations about three to four weeks in advance is ideal. It gives families enough notice to keep the date free, but it's still close enough that the event doesn't get lost in a busy calendar.

If the party is during a busy period (summer holidays, December, or near school events), sending them slightly earlier can help.

2 Weeks Before: RSVP Reminder

Even with clear invitations, some parents forget to reply. A gentle reminder around two weeks before the party usually captures most of the remaining responses.

This is the point where you'll start to get a clearer idea of final numbers.

1 Week Before: Final Planning

By the final week you should ideally know:

  • How many children are attending
  • Any allergies or dietary needs
  • Whether parents are staying or dropping off

With this information it becomes much easier to plan food, party bags, and seating.

Keep It Simple

The goal of invitations is just to make the plan clear. Include the essentials:

  • Date and time
  • Location
  • RSVP method
  • Any key details (drop-off, socks for soft play, etc.)

Once those basics are clear, the rest of the party planning becomes much easier.
